1. Policy Statement

SouthWest Commonwealth Eduversity of Christians (SWCW-C) is committed to fair, ethical, and transparent financial practices. In accordance with Rule 6E-1.0032(6)(i), Florida Administrative Code, SWCW-C maintains and uniformly administers an equitable prorated refund policy for all students.

This refund policy is fully disclosed in the institutional catalog, enrollment agreement, and official student disclosures.

Refund policies applicable to students receiving Title IV Federal Student Financial Assistance or veterans’ educational benefits, if applicable, shall comply with all relevant federal regulations.


2. Disclosure of Nonrefundable Fees

The following fees are nonrefundable and are clearly disclosed prior to enrollment:

  • Application Fee
  • Admission Processing Fee
  • Registration Fee

Nonrefundable admission and registration fees for Florida students shall not exceed $150, in compliance with Rule 6E-1.0032(6)(i), F.A.C.


3. Prorated Refund Formula

A. Programs Charged for the Entire Program

If tuition is charged for the entire program, refunds are calculated on a prorated basis based on the percentage of the program completed by the student, up to a minimum of 40% of the total program length.

B. Programs Charged by Term (Semester / Trimester / Quarter)

If tuition is charged by a term or academic period shorter than the total program duration, refunds are calculated on a prorated basis up to a minimum of 20% of the academic period.

The institution does not consider all or substantially all tuition to be earned when a student has completed only a minimal portion of a program or academic term.


4. Drop / Add Period (Alternative Option)

For programs charged by term, SWCW-C establishes a drop/add period equal to 10% of the academic term or one week, whichever is less.

If a student withdraws before the end of the drop/add period, the student is entitled to:

  • A full refund of tuition and fees
  • A full refund of amounts paid for books, supplies, or equipment, provided such items are returnable and returned in usable condition

5. Cancellation Rights (Three-Day Rule)

A student may cancel enrollment within three (3) working days of signing the enrollment agreement or contract.

Upon cancellation:

  • All tuition and fees paid shall be refunded
  • The institution may retain charges only for books, supplies, materials, or kits that are not returnable due to use

6. Withdrawal Determination Policy

SWCW-C does not require daily attendance records; however, the institution has adopted and published an equitable method for determining a student’s withdrawal date.

A student shall be considered withdrawn on the earliest of:

  • The date written notice of withdrawal is received from the student
  • The date the institution determines, based on faculty or administrative records, that the student has ceased participation

This withdrawal determination policy is submitted to the Commission prior to publication.


7. Refund Processing Timeline

All eligible refunds shall be issued within 30 days from the date the institution determines that the student has withdrawn or canceled enrollment.


8. Uniform Administration

This refund policy is applied uniformly and consistently to all students.

E.4 Policy on Retention of Student Fees If a Student Withdraws

SWCW-C retains student fees in a manner that is transparent, ethical, and compliant with Florida statutes.

  • Non-refundable fees, such as application or administrative processing fees, are retained to cover institutional costs incurred.
  • Tuition retention upon withdrawal is limited to the prorated portion earned based on the student’s period of enrollment.
  • No fees are retained in a manner that is misleading or inequitable to students.
